Terms of Service

Please read these terms carefully before using qvotin. By accessing or using the service, you agree to be bound by them. If you do not agree, do not use qvotin.
1. About qvotin
qvotin is a web-based quoting tool that helps trade professionals build client-facing quote documents faster. It is provided by the qvotin team ("we", "us", "our") and is accessible at qvotin.com and any associated subdomains.
qvotin is a productivity aid only. It is designed to assist your existing workflow — not to replace your professional judgement, your own business systems, or your responsibility to your clients.
2. Your Responsibility to Review All Output
qvotin extracts data from supplier documents and helps you assemble quotations. All output — including extracted line items, prices, quantities, descriptions, and totals — must be reviewed and verified by you before being sent to any client.
You acknowledge and agree that:
- Errors may occur in the extraction or assembly process, including incorrect figures, missing items, or misread data from supplier PDFs.
- It is your sole responsibility to check the accuracy of every quote before sending it to a client.
- qvotin does not verify the accuracy of any supplier pricing, availability, or specification data contained within uploaded documents.
- Any quotes sent to your clients are sent entirely at your own risk.
- We accept no liability for losses, disputes, or damages arising from errors in quotes generated using qvotin, whether or not those errors originate from the software.
Always check your quotes before sending. qvotin is a tool to save you time — your professional sign-off is always required. Never send a qvotin-generated quote to a client without reviewing it in full.
3. Data, Storage, and Backups
qvotin stores quote data and extracted supplier information within the application on a best-effort basis. However:
- qvotin does not guarantee the permanent availability, integrity, or retention of your data.
- You are responsible for maintaining your own copies of all quotes, supplier documents, and any other data you consider important.
- qvotin is intended to be used alongside your existing business systems, CRMs, and databases — not as a replacement for them.
- You should save copies of completed quotes and supplier information outside of qvotin in your own systems.
- We are not liable for any loss of data, whether due to technical failure, account termination, service interruption, or any other cause.
4. Limitation of Liability
To the fullest extent permitted by applicable law:
- qvotin is provided "as is" and "as available", without warranty of any kind, express or implied.
- We make no warranty that the service will be uninterrupted, error-free, or free from viruses or other harmful components.
- We are not liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, loss of data, loss of contracts, or any commercial loss arising from your use of qvotin.
- Our total aggregate liability to you for any claim arising out of or relating to these terms or your use of qvotin shall not exceed the total amount you have paid us in the 3 months preceding the event giving rise to the claim.
- Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.
5. Acceptable Use
You agree to use qvotin only for lawful business purposes. You must not:
- Use the service to create fraudulent, misleading, or deceptive quotes or documents.
- Upload documents containing malicious code or content that infringes third-party intellectual property rights.
- Attempt to reverse-engineer, scrape, or disrupt the service.
- Share your account credentials with others or allow multiple concurrent users beyond your plan's allowance.
6. Accounts and Access
Access to qvotin requires an approved account. We reserve the right to approve, decline, or revoke access at our sole discretion. Your account is personal to you and must not be shared.
Free trial access is granted for 7 days from the date of approval. After the trial period, continued access requires a paid subscription.
7. Intellectual Property
qvotin and all associated software, design, and content is our intellectual property. You retain ownership of any content you upload or create within the service (supplier documents, quote content, company assets). By uploading content, you grant us a limited licence to process and store it solely for the purpose of providing the service to you.
8. Changes to the Service and Terms
We may update these terms or change, suspend, or discontinue any part of the service at any time. We will notify active users of material changes where reasonably practicable. Continued use of qvotin after changes take effect constitutes your acceptance of the revised terms.
9. Governing Law
These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
