Privacy Policy

1. Who We Are

qvotin is a web-based quoting tool operated by the qvotin team. For privacy enquiries, contact us at hello@qvotin.com.

2. What Data We Collect

We collect only what is necessary to provide and improve the service:

• Account data: Your email address and password (stored securely via Supabase Auth) when you sign up.
• Usage data: Quotes you create, supplier documents you upload, and content you save within the app, stored against your account.
• Technical data: Basic logs and error data to help us diagnose issues and maintain the service.

We do not collect payment card data directly. If payment processing is introduced, it will be handled by a third-party provider (such as Stripe) and subject to their privacy policy.

3. How We Use Your Data

• To provide and operate the qvotin service.
• To send you transactional emails (account confirmation, access approval, account status notifications).
• To maintain and improve the reliability and performance of the service.
• To contact you about significant changes to the service or these policies.

We do not use your data for advertising, profiling, or any purpose beyond operating and improving qvotin.

4. Your Content and Client Data

Any content you create or upload in qvotin — including quotes, supplier PDFs, client names, and pricing — belongs to you. We process it solely to provide the service.

You are responsible for ensuring that any personal data belonging to your clients that you enter into qvotin is handled in accordance with your own data protection obligations. If your clients are individuals, you may be acting as a data controller in relation to their personal data. qvotin provides the infrastructure; your compliance obligations with your own clients remain your responsibility.

5. Data Storage and Security

Your data is stored using Supabase, a secure cloud database platform. Data is encrypted in transit (HTTPS/TLS) and at rest. Access is restricted to authenticated users only.

While we take reasonable steps to protect your data, no web service can guarantee absolute security. You use qvotin at your own risk and should maintain your own copies of important business data outside of the service.

6. Data Retention

We retain your account data and content for as long as your account is active. If you wish to have your account and associated data deleted, contact us at hello@qvotin.com and we will action the request within 30 days.

7. Third-Party Services

qvotin uses the following third-party services to operate:

• Supabase — database and authentication. Data may be stored on servers within the EU/EEA.
• Netlify — hosting and serverless functions.
• Resend — transactional email delivery.
• Anthropic (Claude API) — AI-assisted document processing. Uploaded content is sent to Anthropic's API to extract data from supplier PDFs. Anthropic's data handling is governed by their own privacy policy.

We select third-party providers carefully and do not sell or share your data with any third party for commercial purposes.

8. Cookies

qvotin uses only functional cookies required to keep you signed in to your account. We do not use tracking, advertising, or analytics cookies.

9. Your Rights

Under UK and EU data protection law, you have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate data.
• Request deletion of your data.
• Object to or restrict certain processing.
• Lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

10. Changes to This Policy

We may update this policy from time to time. We will notify you of material changes by email or by displaying a notice in the app. The date at the top of this page reflects when the policy was last revised.
